THE PRACTICAL GUIDE
Know what goes into
your quote.
Quote & Mop turns the assumptions you enter into an estimated monthly price. It does not estimate the job’s labor for you.
1. Walk the site and define the scope
Record cleanable area, access, surface types, restrooms, waste handling, and service frequency. Check supplies, equipment, security, and site-specific requirements. Do not assume specialized work is covered by a general office-cleaning scope.
2. Estimate total crew-hours
Add the hours of every cleaner on one visit. Two people working for two hours means four crew-hours. Base wage is the cost per labor hour, and labor burden is the additional percentage you enter for employer costs.
3. Include the other costs
Supplies and travel are entered per visit. Overhead is the monthly amount you allocate to this particular client. Equipment replacement, insurance, administration, and supervision may require an allocation. Omitted costs will overstate the estimated margin.
4. Distinguish margin from markup
At $700 of entered costs, a 30% target margin produces a $1,000 selling price. Adding a 30% markup to the same costs produces $910, which is only a 23.08% margin. Quote & Mop uses margin.
5. Review the client version
The exported proposal includes service price, scope, exclusions, and terms. It excludes your wages, costs, and target margin. Use your browser’s print dialog to save as PDF; disable browser headers and footers if they add unwanted page details.
6. Keep tax and terms accurate
The tax input defaults to zero as a placeholder. Set the appropriate rate for the actual service and location. One-time setup is separately stated before applicable tax. Agree on payment timing, access, cancellation, scope changes, and other contract terms before work begins.
7. Save, send, and follow up
